Uploading and managing documents
Supported formats, recommended sizes, and how to organise the archive.
Uploading a document takes just a few clicks, but some initial choices make the difference between a well-used base and a messy archive.
Supported formats
- PDF, manuals, regulations, printable price lists
- DOCX and DOC, editable text documents
- TXT and MD, notes, FAQs in plain text
- CSV and XLSX, price lists, pricing tables, catalogues
Size and quality
Documents between 1 and 30 pages generally work better than very large files: retrieval is more targeted. For substantial archives it's worth splitting into multiple thematic documents (e.g. 'Summer price list', 'Pool regulations', 'Check-in procedures') rather than uploading a single giant file.
Metadata and tags
For each document you can add a title, description, language, and thematic tags. Tags help the assistant narrow down the search: for example, marking one price list as 'winter' and another as 'summer' ensures the right season is consulted.
Updating and deactivating
When a document changes (new price list, new procedure), upload the updated version and deactivate or replace the previous one. Keeping contradictory documents is the number one cause of inconsistent answers.
